REB deadlines

When are the REB submission deadlines and meeting dates?
For 2026, the REB submission deadlines (SD) and meeting dates (M) are listed below. Please note that this schedule is subject to change: Jan 7 (SD) - Jan 27 (M) Feb 4 (SD) - Feb 24 (M) Mar 4 (SD) - Mar 24 (M) Apr 1 (SD) - Apr 21 (M) Apr 29 (SD) - May 19 (M) May 27 (SD) - Jun 16 (M) Jun 24 (SD) - Jul 14 (M) Jul 22 (SD) - Aug 11 (M) Aug 19 (SD) - Sep 8 (M) Sep 23 (SD) - Oct 13 (M) Oct 21 (SD) - Nov 10 (M) Nov 18 (SD) - Dec 8 (M) Studies requiring Full Board Review (e.g., clinical trials and other greater-than-minimal-risk research) must be submitted by the applicable submission deadline to be considered at the corresponding REB meeting. Given that all submissions first undergo ORS review before REB review, applicants are encouraged to submit Full Board applications at least two weeks before the submission deadline. Please note that these dates apply only to studies requiring Full Board review. Minimal-risk studies are reviewed through the Delegated review pathway and may be submitted at any time.

Creating an Application

Will my application automatically save as I complete it?
Your application is saved only when you click Next, Previous, or Save. Depending on your screen size, the Save button may be visible on the page or located under the More menu. We strongly recommend saving frequently. Infonetica sessions time out after 30 minutes of inactivity, and typing alone does not reset the timer. If no buttons are clicked within 30 minutes, your session may expire and unsaved changes may be lost.
How do I submit during the first week if my study isn't yet visible to me in Infonetica?
From May 1, brand-new submissions can be made directly in Infonetica. For existing studies that are not yet visible on your profile (because team members are still being added manually), submit via HRPP@horizonnb.ca. HRPP staff will track the submission and add it to Infonetica once your access is configured.
Can multiple users work on the same project at the same time?
Yes. Multiple users can work on a project simultaneously, with no practical limit.
Is it straightforward to add students or trainees to a project?
Team members — including students and trainees — can be added to a project at any time. The system tracks each addition in the project history. Students and trainees are added under the research staff section of the application. If the study is already REB-approved and locked, adding a person requires unlocking the form for an amendment. These amendments will be triaged by HRPP/REB.

Imported projects from Romeo

Was my previous project imported from Romeo to Infonetica?
All projects were imported from Romeo to Infonetica as minimal dataset including the following information: - REB File # - Project title - Project Status (Active/ Closed/ Conditional Approval/ Not Approved/ On Hold/ Pending/ Study Closed/ Under ORS Review/ Under REB review) - ROMEO ID number - Contracts ID number Administration - Project type (Sponsor-Initiated/ Investigator-initiated) - Research type (Interventional clinical trial/ Non-interventional) Principal Investigator - Name - Email Event Timepoints (if applicable) - Study approval - Study end - Last annual reapproval (date)
Do my existing REB studies need to be re-entered at renewal, or is the data being migrated?
Existing study data is being migrated. Each migrated study will exist as its own project in Infonetica from May 1, and you will be able to unlock for amendments, submit annual approvals, and use all available subforms. Only a minimal set of administrative information (e.g., project title, PI, ROMEO ID) is migrated initially. Study documents — protocols, consent forms, and similar — are not migrated. Teams will be asked to upload the most recently approved versions at the first post-go-live amendment or annual re-approval, whichever comes first.

Project Ownership

Can I share role permissions with a user?
You may share Role Permissions with a user to invite them to collaborate with various levels of project access by clicking on the "share" item in each project. Sharing a form enables others to view/edit the same form depending on the level of access you give them.
Can a project have multiple Principal Investigators?
No — each project has exactly one designated PI. Study team members can be added to the project and can complete the application on the PI's behalf, but the PI is required to sign the declaration.

Approved project

My project is REB-approved and locked. How can I make changes?
Once an application has been submitted and approved by the REB, its content is locked and cannot be edited. To make changes, select Unlock for Amendment. The application will become editable, and you may either cancel your changes or submit the amendment for REB review. Applications cannot be unlocked, edited, and then re-locked without submitting an amendment. Infonetica maintains a version history of all changes made to an application. When an application is locked, all subforms remain accessible at any time.
